Type them in or import a spreadsheet. Six fields are enough to start, and bad rows are reported instead of failing the whole file.

Share it over LINE or email. The supplier answers the questionnaire and photographs documents on a phone. No account, no app, about three minutes.

What is SupplyProof?
SupplyProof is a supplier document system for small and mid-sized exporters. It stores supplier records, collects documents and a labor-risk questionnaire through a link the supplier opens on a phone, tracks every document's expiry date, sends reminders automatically, and exports a single document pack you can send to a buyer or auditor.
How long does it take to answer a buyer's document request?
Assembling a response by hand across LINE, email and paper files typically takes one or two staff members three to five working days. With SupplyProof the documents are already collected and dated, so building and downloading a pack takes minutes rather than days.
Do suppliers need to create an account or install an app?
No. You send a link over LINE or email. The supplier opens it in a phone browser, reads a Thai-language privacy notice, answers the questionnaire, photographs documents with the phone camera, and submits. Progress saves automatically, so they can close the page and continue later with the same link.
Which documents does SupplyProof track by default?
Certificate of company registration, migrant worker permits, factory operating licence (Ror.Ngor.4), Thai Labour Standard certification (TLS 8001), a self-declaration of no forced labor, and industry certifications such as GMP, BRC, ISO or FSC. Administrators can add document types, mark them mandatory, and set a validity period in months.
What does the labor risk questionnaire cover?
Fifteen questions covering retention of workers' identity documents, recruitment or placement fees, freedom to resign, migrant worker numbers and work permit completeness, workers under 18, whether overtime is voluntary, use of subcontractors, employer-provided accommodation, and grievance channels. Answers that match predefined rules are flagged automatically for escalation.
How do expiry reminders work?
Suppliers are reminded 30 days and 7 days before a document expires. After expiry the reminder repeats every 7 days up to three times, then escalates to the exporter. Reminders stop as soon as a valid replacement is submitted and can be muted per supplier. Exporters also receive a weekly digest of outstanding items.
Is SupplyProof compliant with Thailand's PDPA?
The system is built for PDPA obligations. A privacy notice appears before a supplier fills in the form, only necessary data is collected, individual worker ID copies are never required, files are encrypted before storage and reachable only through time-limited signed links, and a supplier's data can be fully deleted on request while a record of that deletion is retained.
Does SupplyProof certify that a factory is free of forced labor?
No. SupplyProof stores and organizes documents and questionnaire responses. It is not a certifying body, an auditor, or a legal adviser, and it does not verify the truth of what a supplier submits.
What does SupplyProof cost?
Starter is 2,900 baht per month for up to 25 suppliers and 2 users. Growth is 6,900 baht per month for up to 100 suppliers with unlimited users. Enterprise pricing for unlimited suppliers, multi-tier declarations and data residency options is quoted on request.
